How SignWell Uses SMS

SignWell offers SMS (text message) delivery as an alternative or supplement to email for document signing notifications.

Recipient consent is collected by the sender. Before SMS can be used, the sender must confirm they have obtained recipient consent and then enable SMS for the workspace. Once enabled, senders can choose Email, SMS, or both per recipient when sending a document.

When SMS is enabled, SignWell may send text messages to:

  • Notify recipients that a document is ready for review and signature
  • Send signing reminders to recipients who have not yet completed signing
  • Notify recipients when a document has been fully signed by all parties

All SMS messages are transactional notifications related to document signing. SignWell does not send marketing or promotional content via SMS.

How Consent Is Collected

SMS delivery requires consent at two levels:

1. Recipient Consent (collected by the sender / end business)

The sender (the business using SignWell) is responsible for collecting and storing recipient consent before sending any SMS signing notifications. Common acceptable ways senders collect consent include web/online forms, paper forms, verbal scripts, QR - web form, or text-based opt-in.

2. Workspace Administrator Consent

Email is the default delivery method and SMS is disabled by default. To enable SMS, a workspace administrator must turn it on in Workspace Settings and complete a consent attestation confirming they have obtained recipient consent for SMS notifications.

After SMS is enabled, the sender selects the delivery method per recipient when sending a document: Email only, SMS only, or Email + SMS. Recipients receive SMS only when SMS is explicitly selected for that recipient.

How to Opt Out

Recipients can opt out of SMS notifications from SignWell at any time:

United States and Canada: Reply STOP to any SignWell SMS. You will receive a confirmation message and no further SMS will be sent. To re-enable SMS, reply START.

United Kingdom and Australia: Click the opt-out link included in the SMS message. You will be taken to a page where you can confirm your opt-out. No further SMS will be sent.

Opting out of SMS does not affect email notifications. If your delivery preference was Email and SMS, you will continue to receive email notifications for document signing requests.

Please note: Opting out applies to all SMS from SignWell, not just from a specific sender or company. If you opt out and later wish to receive SMS again, you can reply START (US/Canada) or contact the sender to request re-enrollment.

Message Frequency

The number of SMS messages a recipient receives depends on the document workflow. A typical document signing flow may include:

  • 1 signing request notification
  • Up to 3 signing reminders (if the recipient has not yet signed)
  • 1 completion notification (when all parties have signed)
  • Message and data rates may apply.
